Program Description:

The Institute’s Office of Institutional Advancement (OIA) is a central division focused on Institute-wide donor and prospect engagement. Areas of practice include principal and major gift fundraising, corporate and foundation relations, annual giving and membership programming through the Institute’s Society of Fellows, planned giving, trustee engagement, major events, stewardship, research, gift accounting, and advancement communications.

Basic Function:

The OIA Coordinator works directly with the Executive Vice President (EVP), and Major Gifts team, supporting the organization’s top fundraising priorities and highest level individual and family foundation donors. In this role, the OIA Coordinator will help write and prepare materials including briefings, reports, proposals, emails, donor correspondence, and research materials to prepare and support the EVP and Major Gift Officers in their cultivation, solicitation and stewardship of high net worth individuals. Additionally, the OIA Coordinator will assist in tracking and logging donors and prospects in the CRM database including recording interactions and all tasks associated with follow up.

In accordance with our Reimagining Work policy, the Coordinator should be willing to be in-person with colleagues a minimum of 40% of the time while having the flexibility to work remotely for the balance. In-person consists of meaningful connections with colleagues in an office, traveling to a different office or location to meet fellow staff members, at an Aspen event, at a meeting outside the office or other opportunities to meet in person with teammates and colleagues. The expectation is for this role to be in our Washington, D.C. office a minimum of 2x a week to collaborate with colleagues.

Essential Duties and Responsibilities:

  • CRM database management: Proactively support the EVP and Major Gifts team to assure high quality, systematic interactions with current donors and prospects. Includes entering and tracking of actions and contacts, researching and entering biographical and donor-related information, identifying donor cultivation and stewardship opportunities, building custom lists for geographic and thematic opportunities, and designing reports to track activities.
  • Administrative support: Responsible for providing support to the EVP on fundraising priorities including opportunities and needs related to the organization’s CEO and Board Chair. Supports the EVP and Major Gifts team on tracking deadlines, entering actions, and preparing reports, and crafting donor correspondence, emails, and briefings. Interfaces regularly with Aspen Institute programs to provide tailored donor materials and ensure priority funding needs are up to date.
  • Data analysis and database super user: This position requires a high level mastery of donor-centered fundraising including cultivation and stewardship functions. Responsible for the management of gift acknowledgements, donor reports, creation of donor bios, and donor recognition listings for Major Gifts. Responsible for tracking of individual donors and prospects, revenue, and identifying trends and opportunities for growth.
  • Direct interactions with donors and prospects: Responsible for interactions with donors and prospects on a highly professional level, including answering inquires, making phone calls, writing emails and donor correspondence, and scheduling meetings.
  • Drafting Proposals, and Gift Agreements: Draft proposals and donor cultivation and stewardship materials as requested.

Knowledge, Education, and Experience:

  • Undergraduate (Bachelor’s) degree preferred or equivalent combination of education, training, and experience welcome to apply
  • Passionate interest in current events, trends and ideas related to the Institute's work and mission
  • At least 2-4 years of professional experience, preferably in fundraising, membership or relationship management fields, experience with CRM database management
  • Highly motivated, creative professional who can work comfortably in a high-paced and very detail-oriented team environment
  • Keen sense of personal integrity and discretion with handling sensitive information.
  • Excellent interpersonal skills and experience working with organizational leaders. Ability to represent the Institute to high-level donors in a positive, knowledgeable and professional manner
  • Excellent administrative and organizational skills, with an emphasis on time-management and the ability to organize and implement various activities within a deadline-pressured environment
  • Excellent writing skills in email, letters, and marketing, including high-level proofreading
  • Proficiency with Microsoft Office, including Outlook, Excel and Word, and Salesforce preferred
  • Ability to quickly master project management software
  • Ability to quickly master CRM database software
  • Ability to quickly master donor research databases and work with data to identify trends and opportunities

The candidate will be asked to do a short a research and writing exercise during the interview process.
