The Aspen Institute Energy and Environment Program (EEP) works with people, organizations, and governments to move toward taking greater action con climate change. It convenes diverse thinkers and doers to explore and find solutions to the significant challenges in mitigating the impacts of climate change, adapting to the changing planet, and building relationships for cooperation in the energy, environment, and ocean spaces to make a more prosperous, equitable, and sustainable society for current and future generations.

CORE FUNCTION:

We are hiring two (2) roles on the Shipping Decarbonization Initiative

In both roles, the Program Coordinator / Associate is a key member of the Energy and Environment Program team, working on various topical areas, specifically within the Shipping Decarbonization Initiative on the Cargo Owners for Zero Emission Vessels (CoZEV) project and the Green Corridor Project, as well as other areas that EEP may cover. The Program Coordinator / Associate will work with the Senior Manager for Policy or Senior Manager for Stakeholder Engagement on a variety of projects, including performing research, tracking contacts and correspondence, managing project details, communicating and conducting outreach, and identifying and developing partners. The Program Coordinator will be expected to complete all tasks assigned in a timely manner while maintaining deadlines, and a Program Associate will be expected to complete all tasks with limited supervision in a timely manner while maintaining deadlines.

Specific responsibilities include (but are not limited to):

The Program Coordinator / Associate, will:

Logistical Planning and Convening Implementation – Develop, plan, manage, and implement logistical elements of meetings, convenings, and workshops, including:

  • Preparing a timeline and checklist for each convening;
  • Collaborating with the EEP operations team to ensure meeting spaces, meals, lodging, participant travel, ground transportation, and/or AV requirements for convenings are secured;
  • Creating and managing lists for invitations, drafting, preparing, and sending invitations, tracking follow up, and creating tracking material for all attendees of convenings;
  • Conducting individualized follow up with invitees, including via phone and email;
  • Traveling to convening locations and lead set up and serve as on-site logistics lead;
  • Preparing convening materials, including name tags, name tents, agendas, binders, and/or digital readings, and disseminating to participants digitally and/or in hard copy;
  • Update the EEP website with up to date information; and
  • Processing expense reimbursements.

Substantive research and writing –

  • Provide research and writing on a variety of topics within the Shipping Decarbonization Initiative;
  • Participate and represent the program in meetings, calls, correspondence, and other forms of communications with current and potential partners, sponsors, discussants, and participants on both substantive and logistical topics; and
  • Research, write, and edit a variety of different EEP Products, including but not limited to research papers and articles, reports, summary and action items from calls and meetings, email correspondence, invitations, post-convening follow up, and other items.

  • The Program Associate will be a key contributor to EEP’s DEI&B journey, including working with the leadership team to build a culture of inclusion and belonging with the team, focusing on diversity and inclusion efforts throughout EEP’s work, and continuing to contribute to projects that move the environmental movement toward better DEI&B outcomes.

JOB REQUIREMENTS:

A successful candidate will have:

  • 1-3 years of experience for a Program Coordinator role or 3-5 years of experience for a Program Associate role. For the Policy position, experience in Congress or an Executive Branch agency is strongly desirable. For the Stakeholder position, experience interacting with various stakeholders at a federal or international level is strongly desirable.
  • Ability and desire to rapidly learn a wide variety of new subject matter;
  • Ability to successfully manage and track many tasks simultaneously, master workflow details, and self-prioritize;
  • Ability to manage time effectively, work autonomously and with a small team;
  • Strong customer service orientation – a “Yes, and” attitude;
  • Ability to communicate through written and verbal means;
  • Strong professional and diplomatic interpersonal skills required;
  • Demonstrable ability to discern political, economic and cultural beliefs and ideologies related to policy questions and subject matter, including participant and institutional biases;
  • Willingness and ability to travel, as much as 25% of the time during certain times of the year.

Salary expectations:

  • A Program Coordinator is between $50-56k per year, and a Program Associate is between $56-62k per year, depending on skills and experience.

These roles are two year limited term positions that may be extended based on availability of grant funds.

The Institute has implemented a mandatory COVID vaccination policy for all employees who will work at one of our physical locations, attend any of our in-person events or travel on behalf of the Institute. Staff unable to be vaccinated may request an exemption under certain circumstances.
